Overview:

Supports daily logistics operations, specifically managing weighbridge operations, import and export documentation, data entry, and coordination with various stakeholders such as surveyors, customs, shipping agents, and forwarding agents. This role requires meticulous data handling, compliance with regulatory bodies (MPOB, KPK, Customs), and ensuring smooth logistic and shipping processes.

Job Responsibilities:

1. Weighbridge Operation

  1. Operate weighbridge equipment to weigh inbound and outbound transportation (tankers, isotanks, warehouse containers, and SBE trucks).
  2. Ensure accurate recording of weight data and immediate data entry into the ERP system (SAP/ORACLE) and MPOB SIMs.
  3. Monitor and report weight discrepancies promptly.

2. Logistics Documentation

  1. Prepare and manage all necessary documentation related to import, export, local dispatch, and delivery processes.
  2. Liaise with surveyors, forwarding agents, shipping agents, port authorities, and other stakeholders to ensure accurate and timely submission of logistics documentation.
  3. Maintain organized records of shipping and logistics documentation.

3. Data Management & System Entry

  1. Record and maintain accurate shipping and logistics data in ERP systems (SAP/ORACLE), ensuring timely updates to support financial reporting and inventory management.
  2. Verify accuracy and completeness of logistics data entries to minimize discrepancies or audit issues.

4. Compliance and Regulatory

  1. Assist in the preparation and submission of required regulatory documentation (MPOB &KPK reports, DOSM statistics, customs declarations, and other necessary regulatory filings).
  2. Support compliance activities for hazardous materials handling and storage at third-party according to local regulations.

5. Inventory and Stock Control

  1. Assist in regular inventory counts and ensure inventory accuracy by reconciling system records with physical stock.
  2. Document discrepancies and report them promptly to supervisors.

6. Cost Management & Reporting

  1. Assist in tracking logistics and shipping costs, including freight charges, customs fees, demurrage, and port charges.
  2. Prepare monthly summaries of transportation costs, forwarding charges, and other logistics expenses.

7. Safety and Compliance

  1. Adhere strictly to safety regulations, especially during operations involving hazardous materials.
  2. Report any non-compliance, accidents, or incidents immediately to the superior.
  3. Attend all required safety trainings and briefings, especially related to port and weighbridge operations.

8. Communication and Coordination

  1. Regularly communicate with internal teams (production, finance, and warehouse) and external stakeholders (suppliers, forwarding agents, shipping lines, customs officials) to facilitate smooth logistic and shipping processes.
  2. Provide timely updates regarding shipment status and logistic activities to all relevant parties

Job Requirements:

• Diploma in Supply Chain Management, Logistics or equivalent with a minimum of 3 years’ experience or SPM with related field with a minimum of 10 years’ experience preferably in the palm oil or oleochemical industry.
• Familiarity with logistics documentation, import/export regulations, and customs clearance processes is highly beneficial. Strong organizational and communication skills.

The Assistant Logistic & Shipping Assistant typically works in office and field environment:
• Weighbridge station, third-party terminal, ports (Johor Port, Tanjung Langsat Port)
• May require flexibility to work overtime, weekends, or public holidays, depending on operational requirements.
